Add New Parts to your Inventory

Adding parts correctly keeps your catalog accurate, saves time during estimates and repairs, and ensures consistent pricing across your shop.

Admins or managers who maintain part catalogs and want to make new parts available to technicians and dispatchers in work orders or estimates.

Before you start

  • You must have Admin or Inventory Manager permissions.
  • Make sure the Manufacturer you want to assign already exists. (See Add or Update Manufacturers article.)
  • Have ready: Part Number, Name, Description, Manufacturer, and Price.

Quick Summary (TL;DR)

  1. Go to Parts & Inventory → Parts.
  2. Click + New Part.
  3. Enter Part Number, Name, Description, Manufacturer, and Price.
  4. Optionally, edit the SKU if you use a custom naming system.
  5. Set a manual markup if needed.
  6. Click Create to save your part.

Step-by-Step

  1. Navigate to Parts & Inventory in the main menu.

  2. Select Parts from the sub-navigation.

  3. Click + New Part. A form will open.

  4. Fill out the following fields:

    • Part Number: Use your shop’s part reference.

    • Name: A clear, descriptive title (e.g., “Sensor – Air”).

    • Description: Short detail (e.g., “3-pin air pressure sensor”).

    • Manufacturer: Select from your existing list.

    • Price: Enter your base cost.

  5. The SKU is automatically generated by the system, but you can click Edit to replace it with your own identifier.

  6. Optionally, enable Manual Price Markup Override if this part should have a unique markup.

  7. Once complete, click Create to save the new part.

  8. Your new part is now available to select inside Work Items and Service Orders.

Troubleshooting

Can I edit a part later?

Yes, click the Edit button next to the part in your list.

Does the SKU have to be unique?

Yes. MetaFleet automatically ensures each SKU is unique, even if you use your own custom format.

Can I duplicate a part?

Currently, no. You’ll need to create a new part manually.
